POSITION SUMMARY

Responsible for the coordination of the receipt, inspection, storage, and redistribution of materials delivered to the College in accordance with Board Policy and federal, state, and local laws. Maintains and develops transportation carrier and vendor relationships to efficiently coordinate the delivery of major shipments; develops delivery logistics; may supervise receiving staff and on the job training interns; oversees the inspection of all shipments for damages and/or shortages. Regularly engages in the decision-making and project management for major shipments and installations. Files claims, as required by law, for lost or damaged items or shortages.


ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.


Coordinates the logistics for prompt receipt, inspection, storage, and redistribution of all shipments with various carriers and end users for materials received through the College's Central Receiving Department and all shipments sent to off campus sites. Oversees the inspection of all shipments for damages and/or shortages and coordinates the filing of claims in accordance with law. Determines if equipment received requires asset tracking and assigns asset number to equipment prior to delivery.


May provide daily supervision of Receiving Warehouse Assistant and on the job-training interns from external agencies. Provides continuous training in safety, logistics, and delivery of equipment and materials.


Provides on-line reconciliation of all purchase orders placed against shipments received. Authorizes the payment of invoices and reconciles all items ordered via Purchase Order. Assists Purchasing & Financial Services departments in the resolution of invoice discrepancies with vendors based on receiving documentation and records.


Maintains inventory of the College's Central Warehouse, monitors all inbound and outbound shipments stored in the Warehouse. Purchases College supplies maintained in warehouse, as needed, and in accordance with Board Policy. Advises faculty and staff on policies related to shipping, receiving, and warehousing.


SUPERVISORY RESPONSIBILITIES

May supervise Receiving Warehouse Assistant and On the Job Training Interns.


QUALIFICATIONS

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill and/or ability required.


MINIMUM EDUCATION and/or EXPERIENCE

An associate degree or equivalent is required with 3 years relevant experience; supervisory experience, preferred; or equivalent combination of education and experience. Experienced in using on-line automated receiving and delivery system (UPS Trackpad or similar); Department of Transportation (DOT) regulations; on-line ERP integrated receiving/payables systems (Colleague or similar). Knowledge of basic maintenance tools, basic vehicle maintenance, MSD Sheets, handling of hazardous materials and freight claims. Knowledge of computer, calculator, MS Office software and related office equipment. Knowledge of forklift trucks, pallet jacks, and various dollies and carts. Able to drive clutch transmission vehicles and equipment.


LANGUAGE SKILLS

Ability to read and interpret documents such as safety rules, operating and maintenance instructions and procedure manuals is required. Ability to write routine reports and correspondence required. Ability to speak effectively to customers or employees of an organization required.


MATHEMATICAL SKILLS

Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to apply concepts of basic algebra and geometry.


REASONING ABILITY

Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables.


CERTIFICATES, LICENSES, REGISTRATIONS

Possess a class E driver's license and good driving record.
