Assistant Director of Bookstore

St. Charles Community College is seeking a full-time Assistant Director for the Bookstore who will be directly responsible for warehouse and textbooks operations. The Assistant Director will supervise bookstore staff and day-to-day operations and supervise/assist the Director with all operational aspects of the Bookstore and with the Bookstore Automated System.

Other duties:

  • Assists with recruitment, selection, training, and evaluation of bookstore staff.
  • Assigns and coordinates work to promote efficiency of operations. Provides training and orientation to bookstore employees.
  • Maintains departmental procedures and process to ensure that course materials are available by the start of classes and proper shipping and receiving records and controls are conducted.   
  • Oversees and supervises staff on a daily basis, including the processes, procedures and functionality of the bookstore warehouse and procurement of course materials.  Coordinates all textbooks adoptions, works directly with faculty and staff and determines and recommends order quantities as assigned.     
  • Supervises staff located in all areas of the bookstore during the absence of the Director.
  • Responsible for creating work schedules for the bookstore warehouse and course materials/textbook operations based on daily operations, buy-back and peak-period/rush-time events.
  • Responsible for supervising the maintenance of the bookstore's textbook webpages and textbook online orders processing. 
  • Supervises the processes for Accounts Payable pertaining to publisher and vendor purchases.
  • Responsible for initiating ordering determinations to the Director for final approval.  
  • Utilizes bookstore textbook, merchandise software for ordering course materials.
  • Assists the Director by maintaining budgetary requirements for the overall successful operation of the store.
  • Confirms, oversees and initiates tasks associated with entering data for purchase orders, SKUs and UPC codes, cost and retail prices into the bookstore automated systems.
  • Assists the Director with writing procedures to ensure best business practices, as it pertains to procedures pertinent to operations of a retail business, functional areas of the bookstore such as copyright permissions, textbook adoption procedures, accounts payable, accounts receivable, merchandising, store and POS operations manual, refunds and opening and closing the store.   
  • Develops and directs the bookstore staff in a team centered environment to ensure course materials, merchandise and customer services are provided for students, campus community and general public.   
  • Serves as the liaison between college personnel, students, and the bookstore director.   Maintains communication with students, faculty, and staff to promote services provided by the bookstore operations.
  • Assists Director of Bookstore with all aspects of purchasing, ordering, receiving, and inventory as assigned.
  • Prepares scheduling and payroll as requested by the Director of Bookstore. 
  • Responsible for maintaining store's opening and closing procedures on a daily basis while assigning these tasks to full-time and part-time staff. 
  • Supervises and schedules bookstore full-time and part-time staff in all areas of the Bookstore Operations.    
  • Assists the Director with store management automated systems and the supervising of data, maintenance and functionality of individual employee's computer tasks.  
  • Assist the Director with E-Commerce initiatives, setting up and maintaining merchandise catalogs and web-page designs
  • Oversees on a daily basis Cash and Sales Reconciliation, banking, and related reports.
  • Assists the Director with POS functionality.
  • Assists the Director with merchandising aspects for the stores.
  • Collects and Processes Accounts Receivable.  
  • Assists the Director with marketing and merchandising as needed.

Starting Compensation: $29,889 to $38,856 per year, commensurate with experience

Hours: Monday through Saturday - normal hours will vary and will be assigned related to bookstore coverage and open/closing process.

Qualifications: Associate's degree in business management or related field with four or more years of experience in bookstore/retail services, or no Associate's degree with six or more years of experience in bookstore/retail supervision and services. Knowledge of retail math is also required. Minimum three years' experience in retail supervision, with preference to a bookstore higher education environment. Have a working knowledge of Microsoft Office and Bookstore Automated Systems Software. Must be able to operate machines and equipment related to bookstore and warehouse, such as pallet jack, lifts, pull carts, retail ticket machines, packaging machines, touch cash registers, electronic devices, etc.
