Administrative Specialist

The St. Charles Community College Human Resources office is seeking a full-time (32 hours per week) Administrative Specialist who will collaborate with and assist the Chief Diversity Officer/Title IX Coordinator and Deputy Title IX Coordinator/VP for Human Resources with various projects and assignments that include a wide range of administrative work and report writing.   

Other duties: 

  • Handles the administrative functions, scheduling, and recordkeeping of various programs and activities on campus related to Title IX and Diversity and Inclusion (Diversity and Inclusion Council, Title IX Advisory Group, Safe Zone, Healthy Relationships, Sexual Assault and Stalking Awareness, etc.).
  • Provides administrative support with regard to student, faculty and staff outreach.
  • Maintains electronic and hard copy records for student, faculty and staff issues and concerns.
  • As appropriate, makes referrals to on campus and off campus resources, persons/agencies, and reaches out and follows up with students, faculty and staff regarding discrimination, harassment, sexual harassment and sexual violence reports under the direction of the CDO/TIX Coordinator and Deputy TIX Coordinator.
  • Confers with faculty, staff, and administration, and outside agencies/institutions, as needed.
  • Completes special projects as requested, such as, research involving protocols and best practices and community resources.
  • Creates, as needed, and maintains related webpages.
  • Inputs data utilizing Colleague, Maxient, Excel, and Word software.
  • Arranges meetings and conference registrations.
  • Performs detailed composition in preparing investigation reports and program handouts.
  • Applies sensitivity and utmost discretion in direct work with students, faculty and staff impacted by sexual violence, relationship violence, discrimination, harassment and stalking.
  • Performs a wide array of administrative project work for CDO/Title IX Coordinator and VPHR.

Qualifications: Associate's degree (A. A.) or equivalent from two-year college or technical school; or six months or more related experience and/or training; or equivalent combination of education and experience. Requires highly-developed skills in communicating with empathy and working with the highest level of confidential records.  Requires good understanding of database software in order to work with Colleague and Maxient.  Requires intermediate level Word, Excel, and PowerPoint and advanced composition and proofreading skills.
