St. Charles Community College is seeking a part-time Administrative Secretary (20 hours per week) who will organize and coordinate office functions at the Northeast Correctional Center in Bowling Green, Missouri. The candidate will communicate with customers, outside agencies, facilities and accrediting bodies.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

  • Operates computer utilizing various software packages, including MS Office, Access, spreadsheet, presentation, and Desktop publishing programs, to prepare materials, documents, presentations, and reports; composes correspondence; copies and collates documents.
  • Answers telephones, provides information, takes messages, retrieves voice mail messages, and determines nature and purpose of calls for possible resolution.
  • Greets customers to office; provides information; and responds to request.
  • Organizes and maintains filing system including forms, due dates, and reports in accordance to DOC policy and procedure. Maintains competency of current college policies and procedures regarding the forms and the ability to answer questions about them.
  • Enters data into computer following format displayed on screen, and enters necessary codes into DOC, DORS and SCC systems.
  • Arranges programs, meetings, or events by arranging for facilities and caterer, issuing information or invitations, and coordinating speakers.
  • Maintains office supplies; takes inventory; prepares orders for supplies as needed; prepares purchase orders.
  • Sends correspondence and documents via facsimile machines.
  • Handles training and travel arrangements for staff.
  • Tracks and processes documentation relative to student and classes (rosters, grading, certificates, transcript requests).

QUALIFICATIONS To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.   • The employee must pass a pre-employment drug screening conducted by the Department of Corrections and employees will be required to submit to and pass random drug screenings conducted by the department.
  • The employee must comply with Department of Corrections training requirements, which include a minimum of basic training, annual core training, and all other trainings assigned.

 

EDUCATION and/or EXPERIENCE

Associate's degree (A. A.) or equivalent from two-year college or technical school and one year of office experience; or high school diploma or equivalent and three years related experience; or equivalent combination of education and experience. Moderate word processing skills.  Basic spreadsheet and database software skills desired. Experience in delegating and distributing work for clerical support preferred. One year experience working with confidential material.
