SUMMARY: The Office Supervisor will be responsible for the overall efficient and effective flow of department work within specific departments of the Corporate & Community Development (C & CD) division at St. Charles Community College. Duties will include training, managing and evaluating paid and volunteer personnel. Ensures the accuracy of data entry, data reporting and all areas of program reporting to local, state, and federal agencies. Represents the mission, vision, and values of St. Charles Community College as well as the mission of their specific department within the community, other educational institutions, and human services agencies.


ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

Coordinates schedule and workflow for support staff within division.

Resolves problems such as customer service issues; troubleshoots business operations for departments within division (WFD, AEL, Con Ed) and recommends operating changes to the Associate Dean(s)/Dean.

Trains, coaches, and supervises paid and volunteer program staff with in the division.

Assures divisional compliance with college policy and external reporting agencies; identifies, writes, disseminates, and trains support staff in standard operating procedures.

Oversees local, state, and federal paperwork including tracking attendance, monitoring testing and assessment, awarding of credentials, grades and/or credits. Oversees proper submission of instructor documents.

Develops and maintains databases for office operational purposes including, but not limited to WIOA, ACES, DESE, and Colleague management systems. Implements standard operating procedures and assists other staff and program personnel in following procedures.

Coordinates requests from other departments for assistance from C & CD.

Performs other duties including writing reports at the request of the Associate Dean/Dean, serving on division and college committees, and representing St. Charles Community College's C & CD division within the community.

Plans appropriately for resource allocation. Develops appropriate goals, objectives, and timelines.  Manages time effectively so as not to stretch resources.

Manages human resources effectively.  Hires appropriate personnel, manages performance, and assigns duties appropriate to position.

Collaborates with department heads to monitor proper allocation of division resources.

Oversees procedural office operations to assure they run smoothly and support needs are met, assuring coordination of resources between departments.

Works intra-divisionally and inter-divisionally to optimize resources and promote division/department with other divisions and departments. Communicates effectively to assure all relevant people are in the loop.  Follows proper chain of command, submits quality reports to Associate Dean(s)/Dean in a timely manner, and manages conflict appropriately at all levels of organization.



Performs normal supervisory functions. Trains, instructs, and assigns work to departmental personnel; recommends professional development. Arranges for additional help or need for overtime. Explains and enforces college policies, safety rules, and regulations. Evaluates the performance of personnel under position's direct supervision.

Associate's degree (A. A.) or equivalent from two-year college or technical school; or six months or more related experience and/or training; or equivalent combination of education and experience required. Three or more years secretarial experience preferred. Bachelor's degree preferred.
